Home | News | Contract Opportunity – Event Co-Ordinator/Promorter

Crawick Multiverse Trust is offering a contract opportunity for the role of Event Co-ordinator/Promoter commencing January 2023.

We are seeking a highly motivated individual with a proven track record of events programming, planning and delivery.

Full details of the contract brief can be found below and we invite proposals by 12 noon on Friday 16th December 2022.

CRAWICK MULTIVERSE TRUST

CONTRACT OPPORTUNITY – EVENT CO-ORDINATOR/PROMOTER

  1. Introduction

Crawick Multiverse Trust is offering a contract opportunity for the role of Event Co-ordinator/Promoter.  Working as part of the Executive Team, you will develop and co-ordinate our events programme for 2023. The commission is offered on the basis of an average of two days per week over a minimum of 40 weeks commencing January 2023.  There may be the potential to increase the number of working days subject to funding.

We are seeking a highly motivated individual with a proven track record of events programming, planning and delivery.  Experience of successful marketing and promoting of a range of events would be desirable.  You will have a hands on approach and work well as part of a small team.

  • Outline and Main Objectives of the Role

The Trust’s vision and ambition for events at Crawick is a critical aspect to our strategy for securing the long term sustainability of the Multiverse.  Building on the experience and learning from our pilot event in 2021 and our events in 2022, the aim is to deliver a financially sustainable events programme during the 2023 season and build a firm foundation for future years.

As a member of the Executive Team and working closely with our Operations Manager and Marketing and Communications Consultant, the main objectives of this hands on role will be to:

  • Lead on the development, co-ordination and promotion of events at the Multiverse so as to attract existing and new target markets and audiences.
  • Develop relationships and collaborations with a range of potential partners, visitors and hirers.
  • Drive an increase in footfall and business development opportunities for the Multiverse.
  • Contribute to income generation targets to assure the financial sustainability of the Multiverse.
  • Oversee and be accountable for the agreed events budget and where appropriate, identify and secure external funding to help underwrite and establish events at the Multiverse.
  • Establish collaborative partnerships with local, regional and national media.
  • Events Delivery Partner

Due to the complexity of the Multiverse site, CMT works in partnership with an experienced events operations team to run events safely.  Led by Mark Molloy, Yellow Lab Events support our events and provide overall project management.  This includes taking responsibility for operational delivery of the event, site and technical production requirements, health and safety and liaison with all key stakeholders.

A key aspect of the Event Co-ordinator/Promoter role will be to act as the first point of contact for and liaison with Yellow Lab Events.

  • Skills and Experience

We are seeking a suitably qualified and experienced professional to work with the Trust to orchestrate and deliver an ambitious, yet realistic and achievable events programme, which will enable the Trust to:

  • Maximise income generation from ticket sales and deliver a financially sustainable events programme;
  • Establish Crawick Multiverse as a high quality outdoor space for a range of events and experiences, which exceeds expectations; and
  • Promote Crawick Multiverse as a unique venue and raise awareness of the Multiverse to a wider audience.

You will bring a professional and organised approach, with previous relevant experience and a strong track record of event planning and delivery.   Proficient in the use of a range of digital platforms, you will have a good understanding of event marketing and promotion, with the ability to plan and deliver content and targeted campaigns.  You will have an eye for detail as well as excellent writing, editing and proof-reading skills.

You will liaise with our Events Delivery Partner, our Marketing and Communications Consultant and our on-site Visitor Services Team to ensure all aspects of the events programme are communicated appropriately.

The contract is offered on a flexible basis with the ability to combine working from home and on-site.  The successful contractor will be expected to attend regular meetings with the General Manager and Executive Team, so a driving licence and access to a car would be desirable.

  • Contract Terms and Time Commitment

The contract is offered on the basis of a day rate, inclusive of expenses.  It is anticipated that a minimum time commitment of two days per week (with flexible working) will be required from inception, with the potential and flexibility for increased working hours in the run up to events and at certain times during the year.

CMT is in a position to commission the work immediately, subject to receipt of an accepted proposal and agreement on terms.

  • Submission of Proposals

The Trust would welcome proposals by no later than 12 noon on Friday 16th December 2022.   Please address for the attention of Sharon Glendinning, General Manager / Consultant and submit via email to sglendinning@crawickmultiverse.co.uk.

Background Information

Crawick Multiverse opened to the public in 2015 and is a striking space for exploration and adventure.  You will find more information about the history, creation and development of the Multiverse at our website – https://www.crawickmultiverse.co.uk/

The site is operated by the Crawick Multiverse Trust (CMT), whose core business is the conservation, maintenance and sustainable operation of the Multiverse as an inspirational landscape, unique destination, and visitor attraction.  A varied events programme will be key to the long-term sustainability of the Multiverse.

In 2021, CMT embarked on an ambitious programme of destination and venue development, with a bold vision of establishing Crawick Multiverse as the South of Scotland’s premier outdoor events and performance venue.  To date a number of outdoor events have been held successfully, including two live music festivals.

The commissioning of the Event Co-ordinator/Promoter role to develop our events programme and grow audience numbers will be critical to successfully delivering our ambitious targets for 2023.
